WhatsApp Automation: Real vs Hype
WhatsApp automation for a small business: what WhatsApp Business gives you free, when you need the API, and the kind of "bot" that gets your number banned.
"Can you build a WhatsApp bot that answers customers automatically?" Yes. But "WhatsApp automation" is sold as three very different things, and two of them are probably not what you need. Here is the breakdown without the jargon.
Layer 1: WhatsApp Business App (free, and usually enough)
If you still use regular WhatsApp for the business, this is step one, and it costs nothing:
- Automatic greeting for new customers.
- Away message that says when you will reply.
- Quick replies: type /price and the full answer appears.
- Labels: New customer, Awaiting payment, Done.
- Catalogue of products in your profile.
Most small businesses that ask for a "bot" actually need well-organised quick replies and one person disciplined about labels. No cost, no developer.
Layer 2: A website that sends customers to WhatsApp with the details filled in
This is the least talked about automation and the one that saves the most time. The customer fills a form on your site: name, what they want, when. The Send button opens WhatsApp with the message already written, details included. You receive something you can answer straight away, not "hi, want to ask".
We build this into every landing page and business website. No API, no Meta approval, works from day one. The form on our home page does exactly this.
Layer 3: WhatsApp Business API (when a system has to talk to WhatsApp)
The API is needed when a system, not a person, has to send messages. Examples: automatic booking confirmations, payment reminders, order status sent when staff change a status in the system. What you need to know before going in:
- Your business has to be verified by Meta. It takes time and needs company documents.
- Messages the business starts must use pre-approved templates. You cannot send just anything.
- Meta charges per conversation, separately from the cost of the system.
- The number used for the API cannot also be used in the normal WhatsApp app on a phone.
It pays off when volume is high and the messages are repetitive. For a business receiving 20 enquiries a day, usually not yet.
What to avoid: unofficial "bots"
Some services promise a full WhatsApp bot, cheap, without Meta approval. Most of them work by automating WhatsApp Web or the phone app unofficially. That breaks WhatsApp's terms, and the consequence is not a warning: your business number can be banned, with every customer conversation inside it. We do not build this way, and we advise you not to buy it.
And "AI that answers everything"?
AI can answer common questions well if it is given your real answers and has a clear path to a human when it is unsure. Without those two things it answers wrongly with confidence, and a customer who gets a wrong answer about price or delivery does not come back. Start with Layers 1 and 2. When volume demands it, Layer 3, with or without AI.
Which one is for you
| Situation | What to do |
|---|---|
| Answering the same questions again and again | Quick replies in the WhatsApp Business App |
| Enquiries arrive as "hi" with no details | A website form that opens WhatsApp with the message written |
| A system has to send confirmations and reminders on its own | WhatsApp Business API, through your system |
| Offered a cheap bot with no Meta approval | Decline |
Not sure which layer you need? Tell us how many messages a day you get and which question repeats most, through the free review form. Sometimes our answer is "organise your quick replies, build nothing".
