Inventory Systems for SMEs: Off the One PC

Stock in Excel, or in AutoCount locked on one PC? The one principle that makes an inventory system trustworthy, and two routes depending on what you have.

The trading businesses we meet rarely have no system. Usually there is one. The problem is that it lives on one PC in the office, and the person who needs the stock figure is in the warehouse, on the road, or at home at 9 pm.

Two ways stock is usually managed, and where each breaks

Excel or Google Sheets

Starts fine. One sheet, one row per product, one "Balance" column. Breaks when three people update it at once, when someone types 1000 instead of 100, and when you try to answer "what was the balance of this item on the 15th of last month?". A sheet only knows now.

Accounting software in the office (AutoCount, for example)

Strong for accounts and invoicing. Two limits businesses keep hitting:

  • It is on one PC. Want to check stock from a phone in the warehouse? Call the office.
  • Access for other systems is not free. If you want your website or portal to read stock from AutoCount, that is a separate access licence, not something in the base package.

Which means: when you want to show live stock to your dealers, or on a website, it becomes a project, not a setting.

The one principle that makes an inventory system trustworthy

This is the most important part of this article. The stock balance should not be editable. The balance should be calculated from a list of movements: 100 in from the supplier, 20 out to Dealer A, minus 2 adjustment for damage. Every line records who, when and why.

When the balance is calculated rather than typed, you get three things for free:

  1. Nobody can quietly "correct" a number.
  2. You can ask "balance on any date" and get an exact answer.
  3. When a number is wrong, you know which line is wrong, not just "no idea".

Most sheets and many cheap systems are built the other way: one balance box that anyone can change. That is where "system says 40, physical count says 12" comes from.

What a simple SME inventory system needs

  • A product list with units and prices by tier (retail, dealer).
  • Stock in (purchases) and stock out (sales) recorded as movements, never as balance edits.
  • Roles: warehouse records movements, sales sees balances, the boss sees everything.
  • Works on a phone. If it does not, it drifts back to the one PC.
  • An alert when stock drops below a minimum.

What you do not need to start: a full general ledger, payroll, manufacturing. Let the accounting software keep doing accounting.

Two routes, depending on what you already have

If you already have AutoCount and it is accurate: do not replace it. The cheaper route is a read-only sync: products, stock and prices from AutoCount shown on your website or portal on a schedule. The office keeps working as before, dealers and sales see stock from their phones. Our guide price for this is RM 5,000 – 7,000 for a sync onto an existing site.

If your stock is still in a sheet: a light inventory system built on the movements principle above. Depending on how many roles and screens, it sits between a website with a catalogue and admin panel (RM 6,500 – 8,500) and a full internal portal (RM 18,000 – 20,000). Details in our guide price article.

Not sure which route? Tell us how many products, how many people touch stock, and what you use today, through the free review form. Our honest answer is sometimes "keep AutoCount, add one screen".
