A Quotation System for Contractors
Still quoting in Excel? Where it breaks once three people share one file, the five things a simple quotation system needs, and when building one pays off.
Almost every contractor we meet quotes the same way. There is one Excel file called "template". Copy it, change the project name, fill in the items, save as PDF, send on WhatsApp. It works. Until the day it does not.
Where Excel starts to break
- Versions. Quotation_Final.xlsx, Quotation_Final_v2.xlsx, Quotation_Final_v2_LATEST.xlsx. The client asks "which one did we agree on?" and nobody is sure.
- Stale item prices. The cement price in the template is last year's. One person updates their file, the others do not.
- Who approved it. Staff send an RM 80,000 quotation the boss never saw, because the boss was on site and "I'll look later" became "already sent".
- Follow-up. Twenty quotations went out this month. How many has the client answered? Nobody knows without scrolling WhatsApp.
- Reference numbers. Two quotations, same number. The invoices later do not match.
Notice that none of these is an "Excel cannot calculate" problem. Every one is a several people, one file problem. Excel was built for one person.
What a simple quotation system needs
Not an ERP. Not 40 screens. Five things solve most of the pain above:
- One item list with current prices. Change the cement price once and every new quotation uses it. Old quotations keep the old price, because that is what the client agreed to.
- Automatic quotation numbers. Q-2026-0041. Cannot duplicate, cannot forget.
- Status. Draft, Awaiting approval, Sent, Accepted or Rejected. One screen shows every quotation this month and where each one sits.
- Approval before sending. Quotations above a set value cannot go out until the boss taps Approve. The boss can tap it from a phone on site.
- PDF and WhatsApp from the system. One button produces a PDF with your logo and terms and opens WhatsApp with the message written. Same as today, minus Save As.
What you do not need at first
Accounting integration, multi-level bills of quantities, full project management. All of that can come later. Contractors who try to build "everything at once" on day one usually end up with a system nobody uses. Start with quotations only, make sure staff actually use it, then add.
When it pays off
The signs we usually see:
- More than one person prepares quotations.
- More than 10 quotations a month.
- A wrong price has gone to a client at least once.
- The boss is usually on site, not at a laptop.
If two of those four are true, the hours lost every month already cost more than a simple system.
What it costs
It depends how deep you go. As a guide from our price list: a website with a catalogue and admin panel, enough for basic quotations with an item list, sits at RM 6,500 – 8,500. A full internal portal with several user roles, approval flows and a management dashboard sits at RM 18,000 – 20,000, and starts with a mockup of every screen before any code is written. A small feature added to an existing system starts from RM 1,500.
The fastest way to know which class you need: send us one recent quotation (remove the prices if they are sensitive) through the free review form. We look at how you do it today and tell you the smallest thing that would fix it.
